Stay Wild Events Ltd Terms and Conditions

All bookings are subject to our Terms & Conditions. If you place a booking online, via email or by telephone you are agreeing to Stay Wild Events Ltd terms and conditions as set out below.

1. Deposits

Bell tent hire:

1.a - To reserve your tents we require a deposit of £50 per tent which will be refunded to you within 7 days after your event, assuming that there is no damage, loss or excessive cleaning. In the event of a deposit not being refunded we will give a full reason and photographs of why we have chosen to do so.

1.b - Full payment for each package is on top of the deposit amount.

1.c - The £50 deposit secures your booking and ensures no financial loss for the company if the booking is canceled. 

1.d - Bookings received less than 28 days prior to the bookings start date, will require full payment, plus the security deposit upfront.

Marquee Hire:

1.e - To reserve the Stretch tent marquee and/or Dandy Dura flooring, we require a deposit of 30% of the total hire cost.

1.f - Bookings received less than 28 days of the event date, will require full payment upfront.

2. Cancellations

2.a -  Should the booking guest wish to terminate the contract for any reason, then the following compensation rates will be charged to the booking guest by Stay Wild Events LTD.

2.b - Cancellation by you due to inclement weather, transportation failure, non-arrival of party members, illness, late arrival or early departure are not eligible for any refunds whatsoever. As with any holiday we suggest that you take out your own holiday insurance to cover any losses. 

2.c - In the unlikely event that Stay Wild Events Ltd has to cancel or change your booking due to circumstances within our control, we will offer you the choice of a full refund of all monies paid to us or the option of rebooking within the same booking season. No other compensation is available. 

2.e - ‘Force Majeure’ including Adverse Weather Conditions are NOT within our control and not eligible for refunds.

Bell tents:

2.f - Cancellation less than 28 days from the booking start date will result in 100% of the hire charge and deposit being forfeited and non-refundable.

2.g - Cancellation of your booking 28 days or more before the booking start date. We will retain the £50 deposit and you will receive a full refund of the package cost. 

Marquee and Flooring:
2.h - Cancellation less than 28 days from the booking start date will result in 100% of the hire

charge being forfeited and non-refundable.

2.i - Cancellation of your booking 28 days or more before the booking start date. We will retain 30% of the total hire cost and you will receive a refund of the remaining package cost.

3. Loss and Damages

3.a - All booking guests are responsible for the maintenance and safe keeping of the companies property and equipment provided until the dismantling. 

3.b - The booking guest should be satisfied with the product and equipment provided before use and should notify the company immediately if unsatisfied.

3.c - The booking guest should leave the bell tent, marquee and equipment provided in a clean and tidy state. 

3.d - If they are left in an unacceptable state then we will deduct a reasonable surcharge from the security deposit to cover any added necessary cleaning or repairs. 

3.e - If the damage and/or cleaning exceeds the amount of security deposit obtained we will invoice separately for this accordingly. 

3.f - Vomit, urine and any other soiling found in or on the tent will result in a minimum charge of £100, for the cleaning of the equipment. We will send an additional cleaning bill for the cleaning required.

3.g - We accept no responsibility or liability for the damage or theft of any personal property left in the tent for the duration of the hire period.

4. Delivery, set up and collection
4.a - The delivery charge will be in addition to the bell tent hire fee. This will be based on the distance from our base in Sussex to your venue. 

4.b - The charge will include fuel, delivery and collection. We delivery for free within 30 miles of our base and charge 0.50p per mile thereafter.

4.c - We try to set up the day before the event and take down the day after where possible, allowing time for decorating and set up and so that we do not disturb any proceedings. For glamping events set up is usually on the morning of the day of arrival, subject to venue rules.

4.d - However, if this is not suitable with your venue, please talk to us and we can arrange a suitable day. All subject to bookings in our calendar.  

4.e - Stay Wild will notify you, the guest, of any changes to the delivery and collection times agreed immediately, if for some reason there are traffic, weather, transport or equipment availability issues. 

4.f - For bell tent accommodation our check in time is usually between 2-3pm and check out time is 11am.

5. Stay Wild Guests responsibility

5.a - The booking guest should not enter any equipment whilst the company is erecting it.

5.b - The booking guest should keep any part of the tent completely closed and secure when not using during the period of hire.

5.c - The booking guest should not tamper with the structure of any part of equipment or product on hire. Guy ropes are an exception on bell tents.

5.d - No heating, cooking or other gas or electric appliances of any kind, other than what is provided by Stay Wild Events is to be used inside the company’s tents without previous consent in writing from Stay Wild Events LTD.

5.e - No cooking inside the tents.

5.f - No naked flames, including candles inside the tents.

5.g - Any naked flames used on site in proximity to the tents are entirely at the booking guests own risk.

5.h - No animals are allowed within the company’s tents without previous consent in writing prior to the booking start date.

5.i - No smoking is allowed inside the company’s tents. If evidence of smoking is discovered inside the tents, we will retain the full security deposit.

5.j - The booking guest agrees that Stay Wild Events and its employees accept no liability for any personal injury, damage to any persons or damage or loss of property suffered during the period of hire.

5.k - Barbecue equipment and open fires outside are to be positioned at least three metres from the tents and not left unattended at any time whilst in use.

5.l - The booking guest will be responsible for any costs incurred by the company due to last minute changes or delays being made once the erection of tents has begun.

5.m - The number of guests per tent is agreed and paid for at the time of booking, no additional campers are permitted unless an agreement has been issued by Stay Wild Events.

5.n - No confetti or confetti balloons are to be used inside the tent.

5.o - All rubbish and recycling must be removed by the booking guest. We have a leave no trace policy. Please use bags provided.

5.p - Be respectful of your environment, nature and neighbours and venue in which you are hiring.

5.q - – Guests accept that the services we provide are in fact that of camping. In the event that there are high winds or heavy rain once the tents have been erected and we have left the site then we advise guests/clients to check guide ropes in order that the tent structure remains secure, to avoid any possible weather damage and to ensure interiors remain secure and dry.

6. Ownership

All equipment remains at all times the property of Stay Wild Events LTD.

7. Space required per tent

7.a - 5 metre bell tents require a 7 metre area of the flattest grass and ground.

7.b - The Stretch tent marquee is 15m X 10.5m (34.44ft X 49.21ft) and requires 16m X 11.5m of flat, level ground.

7.c - Please note that it is the booking guest’s responsibility to ensure that there is enough space at the location of the booking, and easy access for the tents to be erected.

8. Complaints

In the event that you have any complaint, please contact us immediately so that we can resolve any problem and we will make every reasonable effort to resolve the issue as soon as possible.
